What is a bookkeeper's role?

Business owners use information processed by bookkeepers to evaluate the performance of their business. Therefore, it is Unique Management’s primary responsibility to ensure 100% of your business transactions have been recorded accurately. Being a bookkeeper is more than just processing transactions, it is about having sound knowledge of accounting and tax concepts. Unique Management is equipped with professional training and qualifications in the area of accounting to ensure there is reliable data to gauge your business’ performance.

What Qualifications and Professional Memberships do we hold?

Unique Management are registered BAS agents with the Tax Practitioners Board which means we can provide BAS services for a fee. There are set education and work experience requirements that need to be met in order to be registered with the Tax Practitioners board and Unique Management fulfil these and maintain them as required. We are an Associate in Practice member with The Institute of Certified Bookkeepers (ICB). This means that we follow a Professional Code of Conduct with regards to bookkeeping standards, demonstrating that we have performed bookkeeping services to a significant level for a great many years!

What Insurances do we have?

Being a Registered BAS Agent and also a Certified Bookkeeping Practice, we must maintain current professional indemnity insurance under TASA2009

How do we communicate with our clients?

Processing the day to day transactions in your accounting software is one element of bookkeeping that we undertake. It is likely that you are going to be communicating regularly with us, especially in the first few months of working together.
As a business owner, your time is valuable and working with us will ensure that we don’t take up hours of your time with ineffective communication.

And how do we do this? We can do this any way you like, we are flexible in the method of communication. If it works for you than it means it’s working.

If you prefer phone calls, we can offer phone support. If you prefer email correspondence, then reflect on the emails you’ve received from us we can also accommodate this. We are here to work in with you to make life easier not harder.

What delivery and response times can you expect?

A common complaint about bookkeepers is that they can be slow to respond to emails and that the bookkeeping isn’t completed to a set schedule. We aim to acknowledge emails within a 1 hour timeframe and come back to you as soon as we have the answer to your query. We will always keep you informed along the way if the answer is taking some time to come to. We would rather get to the right answer than rushing an incorrect response, however we won’t go silent on you.

How do we protect our clients?

You are sharing your financial information with us, so you need to feel like you can trust us. You will probably get a feel for us during the initial scoping process where we share with you our strict privacy policy and internal confidential policies. We take privacy very seriously and abide by all the privacy policies and standards according to the Privacy Act and of course our clients.

How do we price our services?

How will we charge? Is there a fixed monthly fee, or do we charge by the hour? We charge a fixed fee per month which is negotiated at our initial meeting based on what tasks are required. We clearly outline what is and isn’t included in that fixed rate. We don’t watch the clock or calculate how many hours work we have completed for you and then come back with an additional unplanned invoice. We work fairly and professionally. As the saying goes, if you pay peanuts you get monkeys.

Who will own the Accounting Software subscription when you work with us?

This is important! We recommend that the business owner holds the subscription in their own name and then invite the accountant and Unique Management being your bookkeeper into the business file. There have been instances of accounting firms refusing to give access back to business owners when there are outstanding issues e.g. overdue bills. We believe clients should ‘own’ their data and recommend they hold the Xero subscription in their name.
